Library Guide

This guide helps you find your way around the Library and gives you the basic information needed to use its resources and services effectively. It is an introduction rather than a complete manual — do take part in our orientation and bibliographic instruction sessions, and never hesitate to ask the library staff for help.

Before You Borrow

Getting Started

Register

Present your identity card or letter of admission to register. Registration is valid for the duration of your programme.

Collect Your Card

You are issued a borrower’s card, which must be shown at the issue desk whenever you borrow a book.

Attend Orientation

New students take part in library orientation and bibliographic instruction to get acquainted with our resources.

Borrowing

How Many Books You May Borrow

Books must be returned by their due date. A book may be renewed once if it has not been requested by another reader — renewals cannot be done by telephone.

All borrowed materials must be returned three days before the end of each semester. Any book recalled must be returned within 72 hours.

Locating What You Need

Finding a Book

Books on open access may be borrowed directly. Determine the author, title and class number from the Online Public Access Catalogue (OPAC):

Reserving a Book

Books on loan may be reserved through the librarian or an assistant at the issue desk. When the book is returned it is held for you, and you are notified to collect it within two days.

Unclaimed reservations return to the shelves. If you are leaving the College for a few days, tell the issue desk so a reservation notice is not sent while you are away.

House Rules

Conduct & Care of Books

  • Silence is to be observed at all times within the precincts of the Library.
  • Smoking is forbidden in all parts of the Library.
  • No food or drink is allowed anywhere in the Library — including sweets and fruit.
  • Bags, gowns, raincoats, umbrellas, cameras, scanners and recorders must be deposited with staff at the entrance, at the owner’s own risk.
  • Firearms and other offensive weapons are not allowed into the Library.
  • Pets are not allowed in any part of the Library.
  • No seat may be reserved by or for any reader; reserved seats will be released for others.
  • Library staff may inspect any item being taken out of the Library.
  • All users must enter and leave through the main entrance, and may not enter staff offices unless invited.
  • Orderly conduct must be maintained at all times.
  • No book is to be written in, soiled, torn, cut or damaged in any way.
  • Report any existing defect or damage before you borrow.
  • Do not trace pictures or figures from any book or material.
  • Readers are responsible for damage to books in their care and will be required to pay the appropriate cost.
  • Report the loss of a book at once; if it is not found, the borrower shall pay for it.

Failure to return books on the due date — a fine of GHC 1.00 per day for up to 7 days; thereafter GHC 2.00 per day plus loss of borrowing rights until the books are returned. Students who fail to return all library books three days before the second-semester final examinations will be debarred from taking those examinations.

Misplacement of books — up to 14 days to search, with a fine of 0.50Gp per day for the first seven days and GHC 1.00 per day thereafter.

Loss of books — the user shall replace the book and meet the associated cost.

Mutilation of books or periodicals — tearing out pages, sections or illustrations carries dismissal from the College.

Writing in library books or underlining — payment of the current price of the book, and loss of borrowing rights for one semester.

Institutional Repository

A digital service that collects, preserves and distributes the College's own digital materials.

Theses & Dissertations

Access to theses and dissertations from Ghana, Africa and the rest of the world.

Suggestions Welcome

Library users are welcome to make suggestions about our operations and services. A suggestion box is kept near the issue desk.

Academic staff and students are also encouraged to recommend books for purchase — please make recommendations to the Librarian.
